Overview
We are seeking a dynamic Customer Service Specialist to join our team in driving customer satisfaction, service excellence, and operational efficiency. Serving as the primary frontline liaison and operational key-player, this position actively assists customers, dealers, and field personnel across multiple touchpoints in person, by phone, and online.
This position bridges technical customer support and order desk management with direct, hands-on inventory control and material handling. The ideal candidate helps customers identify and source the right products, aftermarket parts, and technical solutions for Walinga's Transportation Equipment (ETE) and Pneumatic Conveying Systems (PCS), manages quotes and orders in CRM, tracks and picks inventory, and operates heavy material handling equipment safely within the facility. A deep passion for agriculture and the future of global agribusiness is essential to this role.

Responsibilities
- Inquiry Resolution: Respond promptly and professionally to walk-in, telephone, and email inquiries from customers, dealers, sales representatives, and service personnel.
- Relationship Building: Build strong, long-term customer and dealer relationships through attentive service,knowledgeable guidance, clear communication, and prompt follow-up.
- Dealer Network Support: Provide dedicated support to the existing ETE and PCS dealer networks, helping them grow their business through reliable service and order assistance.
- Technical & Product Assistance: Assist customers with parts identification, product selection, basic technical troubleshooting, and guidance on Walinga equipment lines (including pneumatic conveying systems, hydraulics, and electrical components).
- Quotes & Pipeline: Prepare accurate, timely product quotations, sales orders, and parts recommendations; maintain accurate customer interaction and CRM records.
- Cross-Departmental Coordination: Partner with Engineering, Production, Purchasing, Service, and Shipping to ensure precise and timely order fulfillment.
- Delivery Tracking: Monitor orders, track product delivery expectations, and keep customers informed throughout the order lifecycle.
- Order Fulfillment: Accurately process customer orders, complete picks, and ensure items are packed according to specifications for shipment.
- Inventory Systems Management: Update stock levels, process shipments, and track product movements using computerized inventory control systems.
- Record & Stock Accuracy: Assist with regular cycle counts, audit inventory data, maintain organized storage areas, and report customer demand trends to management.
- Material Movement: Load, unload, and move materials, parts, and equipment within the facility using forklifts, pallet jacks, and overhead cranes.
- Receiving & Inspection: Receive, inspect, and verify incoming shipments against delivery documents; label, store, and report damaged materials.
- Operational Safety: Maintain a clean, organized, and safe work area while supporting other departments based on operational demand.
Qualifications
- Customer Service Experience: 2+ years of experience in customer service, inside sales, order desk, or material handling.
- Education: High School Diploma (or equivalent) required; Post-secondary degree/diploma in Business or related field preferred.
- Licensing: Valid driver’s license with a clean driving record. Must be able to safely operate a company pickup truck as needed.

- Communication: Exceptional interpersonal, written, and verbal communication skills; customer-first mindset.
- Systems & Admin: Proficient with computer systems, CRM databases, inventory control software, and data management.
- Problem Solving: Analytical abilities, attention to detail, strong decision-making, and good judgment under pressure.
- Adaptability: Self-motivated, reliable, and comfortable working independently and as part of a fast-paced team.
- Physical Agility: Ability to climb, walk, squat, kneel, and perform overhead activities.
- Lifting Capacity: Capable of lifting up to 40 lbs (with routine lifting from floor to waist/shoulder).
- Work Environment: Work in various temperatures (cold/heat) and around chemical products as required.
- Attendance & Travel: Regular, predictable full-time in-person attendance is required. occasional travel to support other Walinga or WASP facilities.
