Warranty Coordinator
Job Brief
The Warranty Coordinator is responsible for overseeing and managing the warranty process for products and services offered by Walinga Inc. This role involves coordinating warranty claims and working closely with customers, suppliers, dealers, and internal teams to ensure warranty requests are processed accurately and efficiently.
The Warranty Coordinator plays an important role in maintaining customer satisfaction by resolving warranty-related issues in a timely and professional manner while ensuring compliance with warranty policies and procedures.
Responsibilities and Duties
- Review and validate warranty claims for accuracy and compliance with warranty terms and policies.
- Process warranty claims with complete supporting documentation, including receipts, reports, and other required information.
- Serve as the primary contact for warranty inquiries from customers, sales representatives, and dealers.
- Clearly explain warranty coverage, terms, procedures, and claim requirements.
- Provide prompt status updates and resolutions while maintaining a high level of customer service.
- Collaborate with Walinga's service departments to resolve warranty-related issues, including arranging inspections, repairs, and replacements.
- Coordinate with internal teams and suppliers to expedite warranty claim approvals or denials in accordance with company policy.
- Collaborate with quality and development teams to identify and address recurring product issues.
- Oversee the return and inspection of defective products to ensure timely receipt, accurate credit issuance, and proper claim validation.
- Stay current on warranty policies, terms, manufacturer guidelines, and relevant regulatory changes.
- Maintain accurate and organized records of warranty claims, decisions, documentation, and actions taken.
- Ensure compliance with warranty terms, company policies, and manufacturer guidelines.
- Analyze warranty data to identify trends, product defects, and opportunities for improvement.
- Continuously improve warranty processes to increase efficiency and customer satisfaction.
- Train and assist staff on warranty procedures and policies.
- Maintain strong product knowledge to effectively manage warranty claims.
Requirements & Academic Qualifications
- 1+ years of warranty experience.
- Strong organizational and time-management skills.
- Ability to manage multiple claims and priorities simultaneously.
- Commitment to providing excellent customer service.
- Excellent verbal and written communication skills, particularly when managing customer and dealer relationships.
- Detail-oriented with a high level of accuracy in documentation and record-keeping.
- Ability to work independently and collaboratively within a team environment.
- Ability to lift up to 30 lbs.
