Overview

We are looking for an organized Engineering Administrator to support the daily operations and project needs of our Engineering department. The Engineering Administrator is responsible for assisting in providing accurate engineering information to the manufacturing teams, creating project plans, and performing essential administrative tasks to support smooth operations and successful project delivery.

Responsibilities

  • Review upcoming orders (sales contracts) for accuracy and completeness. You will be responsible for converting the contract into a specification (via an automated process) and ensuring that all the details are carried over accurately. This specification is used by the engineering and production teams to design and build the product.
  • Manage change orders and establish clear communication of updates to all stakeholders.
  • Update and coordinate the Departmental Risk Management Status Report and assist in driving corrective action.
  • Review projects for government funding, such as Scientific Research & Experimental Development (SR&ED) and Industrial Research Assistance Program (IRAP), and generate the required reports.
  • Manage project trackers and monitor milestones to ensure deliverables are completed on schedule.
  • Coordinate meetings, establishing agendas and documenting actionable minutes to ensure timely team follow-up.
  • Compile and calculate the required vehicle identification number (VIN) plate parameters (e.g., tare weight, GVWR, etc.).
  • Collaborate with Quality Assurance to document and verify the resolution of concerns raised by production, Pre-Delivery Inspection (PDI) reports, or customers.

Qualifications

  • Proven experience in an administrative, project coordination or internal sales role, ideally within an engineering or technical environment.
  • Strong interpersonal and communication skills with a proven ability to coordinate cross-functional teams.
  • Proficiency in Microsoft Office Suite and/or Google Suite (Excel / Sheets, Word / Docs, PowerPoint / Slides).
  • Familiarity with engineering concepts, technical documentation, and manufacturing quality processes is beneficial.
  • Experience with data visualization/analysis tools (e.g. Power BI) is beneficial.
  • Familiarity with government funding / R&D grant tracking and reporting (e.g. SR&ED, IRAP) is beneficial.
  • Strong organizational, task-prioritization, and time-management skills with meticulous attention to detail.
